Sync the scheduler appointment calendar with Google & ICS calendar.

Turn on Email Configuration



First, navigate to the Utility menu in the top right corner and select the utility Gear icon.

 

Preferences 

Note: Google calendar sync from Scheduler works only with emails hosted on Google. For example, your blank@rcompanyname.com must be hosted by Google. 


Group Preferences

Under Preferences, Group Preferences, the Sync Appointments with Google Calendar must have a “Yes” in the value along with your email address. Select Save. You must change these settings for each location. 

 

Google Sync


From the Appointment Scheduler, click Sync (Google icon) in the top right of the screen.A pop-up will appear that prompts you to log in to your Gmail account. Please follow the steps of entering your Google email and password.Click Allow.That’s it!

ICS Cal

An ICS file is a calendar file saved in a universal calendar format used by several email and calendar programs, including Microsoft Outlook. It allows you to share calendar information on the web and over email.

For example, when you send a meeting request to others, they can share ICS files and import the meeting's details into their calendars.


Frequently Asked Questions

How many users can sync a doctor's calendar via Google Sync?
There is no restriction. Adding emails under Group Preferences will get the calendar sync.

Can a user un-sync the calendar? If so, how?      
Remove the email under Group Preferences to un-sync a calendar.

Is the user required to "sync" a Google calendar by selecting the Google button in the scheduler for changes to be reflected on their Google calendar?
Google calendar sync happens automatically for all future appointments, including cancelled appointments, once the configuration is complete. The user can use the "sync" button on the appointments screen to sync their schedule before the Google sync setup or if any new email gets added under Google sync.

Is syncing the calendar to Google or sharing an ICS file with Microsoft Outlook HIPAA compliant?
Yes, as long as there is a Business Associate Agreement (BAA) in place. Google provides a BAA for its paid versions, but not for its free version of Google Calendar. Microsoft provides a BAA for users of Microsoft 365.
